How to Switch Commercial Cleaning Companies Without Disrupting Your Business
Most businesses that are unhappy with their commercial cleaning company stay with them longer than they should. Not because they can't leave, but because the process of switching feels disruptive enough that they keep putting it off.
The reality is that changing providers is simpler than most people expect. Here's how to do it cleanly.
Check Your Contract Terms First
Most commercial cleaning contracts include a notice period, typically 30 days, sometimes 14. Read your agreement and identify the notice requirement before you do anything else. In most cases you can serve notice and have a new provider in place before the existing contract ends.
If you're on a month-to-month arrangement, the transition is even simpler. Some businesses switch in a single week.
Get a Proper Quote, Not Just a Price
When assessing a new provider, ask for a written scope of work, not just a price. A quote that says "$X per week" without detailing what's covered is worth very little. You want to know exactly which tasks are included at which frequency: daily vacuuming, bathroom sanitising, kitchen clean, periodic deep tasks.
This scope becomes the baseline for accountability. If you know what was agreed, you can confirm it's being delivered, and raise it clearly when it isn't.
The Handover
On the last day of your existing contract, do a brief walkthrough of the premises and note the current condition of key areas, bathrooms, kitchen, floors. This gives your new provider a documented starting point and prevents any confusion about what was already dirty versus what they're responsible for from day one.
Brief your new provider on your specific requirements: alarm codes, access procedures, any areas that need special attention, any products you can't use (fragrance-free, specific surface materials). A professional provider will document all of this before their first visit.
What Good Looks Like After the Switch
Within two to three visits, the difference between a well-run cleaning service and a poor one becomes apparent. Consistently clean bathrooms at the start of every workday, a kitchen that's been properly wiped down rather than just glanced at, floors that are clean rather than vacuumed in a pattern. The standard either materialises quickly or it doesn't.
ShineMasters handles commercial client onboarding with a documented handover process. We visit the premises before the first clean, agree the full scope in writing, and follow up after the first three visits to confirm the standard is meeting your expectations.
